Executive Assistant

CHA is seeking an Executive Assistant to provide administrative support to the Executive Vice President/Chief Operating Officer and the Assistant to the President. In addition, this position is responsible for performing a wide variety of duties related to the activities of CHA and the Board of Trustees. This position requires the ability to manage and prioritize multiple projects and handle frequent priority changes. This position also requires a high level of initiative, professionalism, discretion, judgment, and excellent interpersonal and communication skills. Responsibilities include producing timely, accurate, and complete correspondence, reports, agendas, minutes and other business documents in a professional manner; maintaining historical files and minute manuals for the Board of Trustees; handling the scheduling, site selection, logistical arrangements and administrative support for the Board meetings, the annual retreat and other meetings and events as necessary; maintaining current and accurate rosters and mailing lists for the Board of Trustees, the Executive committee and other assigned committees; providing support for the Executive Management Committee, including meeting arrangements and preparing and disseminating agendas and other meeting materials; handling telephone calls for the EVP/COO; coordinating the EVP/COO’s calendar; process incoming mail; and making and confirming meeting and travel arrangements for the EVP/COO.
The successful candidate will be a high school graduate or equivalent; have a minimum of five years of administrative support experience in a professional setting with at least three years as an executive-level assistant preferred, experience in a health care, legislative or association environment preferred; proficiency with Windows-based software including, but not limited to, Microsoft Outlook, Word, Excel and PowerPoint; tested typing speed of at least 75 net wpm; tested proofreading, editing, grammar and spelling skills at 90 percent or higher; ability to handle sensitive and confidential materials in a professional manner; ability to compose and/or proofread documents and reports; ability to organize, plan, work on multiple projects, prioritize and meet deadlines all under pressure in a fast-paced environment; be extremely organized and detail-oriented; ability to follow directions and work effectively with minimal supervision; excellent written and verbal communication and interpersonal skills; must be a willing and effective team member; must have a customer-focused, pleasant and professional demeanor; and have the ability to travel overnight on an occasional basis.

Executive Director, California Hospital Patient Safety Organization

CHA is seeking an Executive Director for its newly created California Hospital Patient Safety Organization (CHPSO). CHPSO will function as a statewide patient safety organization and serve as a catalyst for improvements in hospitals’ performance. The intent of the program is to help hospitals improve quality and patient safety; reduce medication and medical errors; better integrate with evolving information and communication systems; standardize reporting and accountability measures; improve the public’s trust in hospitals; and improve efficiencies.
The Executive Director is responsible for performing the leadership duties associated with the day to day operations of CHPSO and for the implementation of the strategic work plan. Primary duties will encompass the following areas:
Leadership
- Recommends, implements and evaluates the effectiveness of initiatives that address patient safety issues.
- Collaborates with public/private entities and develops short and long term strategies for implementation of programs/activities that foster CHPSO’s strategic direction.
- Represents CHPSO before governmental, private agencies and other entities.
- Stays abreast of patient safety and healthcare issues at a state and national level.
- Communicates with members and other stakeholders and serves as the community relations spokesperson.
- Establishes and maintains good working relationships and collaborative arrangements with stakeholders.
Operational Planning and Management
- Communicates CHPSO activities by collecting and analyzing data and producing reports that incorporate and discuss findings.
- Oversees day to day CHPSO activities including staffing, financial, communications, marketing, and operations.
- Facilitates the organization’s educational activities and related programs.
- Works collaboratively with the CHPSO Board to promote the marketing and recruiting plan.
- Coordinates the scheduled publication of articles and press releases through CHSPO and CHA.
- Develops and executes a plan to secure the resources necessary to build and sustain the program, including identifying funding resources and writing funding proposals.
Performance Reporting
- Directs the organizational, operational and support programs to meet the goals of the Patient Safety and Quality Improvement Act of 2005.
- Manages and/or oversees the collection, aggregation, analysis and appropriate dissemination of confidential data.
- Provides hospitals with information and strategies based on analysis of adverse events with the goal of improving safety and reducing or eliminating adverse events.
- Increases the availability and usability of clinical information for California’s hospitals.
- Ensures reporting mechanisms are effective and utilized among the membership.
- Develops a culture that encourages voluntary reporting of adverse events to improve performance.
Advocacy
- Works with the Board to develop and implement strategic and action items.
- Develops and maintains relationships with state and national organizations involved in quality and safety reporting and other state hospital associations.
- Establishes and maintains trust and credibility with California hospitals, patient safety advocacy groups, key stakeholders, public regulatory agencies, coalition groups and others to promote the use of data, collaboration and evidence based medicine to reduce variation and cost of care.
- Makes recommendations to the Board on a plan of action for current and future services and executes the plan with a diverse group of interests and perspectives.
- Serves as the leading public voice on patient safety/quality for statewide performance, trends and strategies for CHPSO.
The ideal applicant will have the following education, experience, and skills:
- A medical degree or advanced degree in nursing, healthcare administration, business or public healthcare administration.
- Minimum of 10-15 years in leadership roles in healthcare organizations or healthcare trade organization.
- Knowledge of critical research in quality and patient safety and knowledge of local, state and national quality and patient safety efforts.
- Proficiency as an advocate for patient safety.
- Strong knowledge of contemporary health care issues.
- Demonstrates a high degree of interpersonal skills which facilitate relationships and partnerships among diverse groups and has a philosophy of cooperation and collaboration.
- High degree of respect within the health care community with a proven ability to work effectively with key stakeholders.
- Excellent communication and interpersonal skills and experience working with CEOs and Boards of Directors.
- Demonstrated ability to source and secure program funding.
- Effective public speaking and business writing skills.
- Solid experience with financial management.
- Demonstrated ability to manage all aspects of multiple hands-on priorities and projects.
- Strong analytical ability.
- Demonstrated leadership skills and ability to act independently or as part of a team.
- Ability and willingness to work long irregular hours and travel 50% of the time.
- Proficiency with computers and the Microsoft Office suite, including Outlook.
